I have created this thread as a tool for me and other TDs that would like access to the tools. Unless otherwise specified you may treat these files as open source documents.

Here I have posted the pdf of the registration cards that we have used with the Gateway leader boards. If anyone wants the original that I made with Adobe PageMaker 7, let me know. I can't post that kind of file on this board.

TD's (or anybody that knows), I am looking to pick up some flag markers for an upcoming tournament that I'm helping to run, and I wanted to know if there was a local store that I could buy them from before having to order online.  I'd like to get assorted colors as well, but I don't know if I can get that.

thanks for the tips.  I found some at Lowes, but I also found a place online that was 100 flags for $5 + S&H vs 25 flags for $3 at Lowes.  So I opted for the online route because I figure that this will not be the last tournament that I help run :)

Has anybody made home-made leaderboards?  I was thinking that I could somehow take some foam board and cut up some clear plastic bags that I have and attach it to the board to make pockets.  There was a turnout of 30 kids for last year's tournament, and there are more expected this year, especially because there's going to be lots of free stuff :)

If you can find someone tossing out (or selling at a garage sale) louvered shutters, you can use the slats to hold cards.

Before we got our leadboards we used to use cork boards and tack the cards down with push pins. You need 4 push pins per four-some or 6 push pins if it is really windy. It only adds about 5 minutes to the turn around if you have 60 or fewer players.

ok guys its been 11 years since i ran an event but im doing it in 07 what do you use for doing flyers and how do you say convert to a pdf thanks for  the help

I just got done running the Ice Bowl at Jericho lake and I used Microsoft Publisher. It can create some great looking flyers if you know how to work it. I can shoot you the flyer over an email if you likethis site will not support the file for download.

re: converting to PDF - you need pdf creation software which typically provides a pdf 'printer' you can use for saving your file as a pdf.

for non-free software, adobe acrobat standard is where its at.

for free software I like cutepdf - http://www.cutepdf.com
you need to first download & install this: http://www.cutepdf.com/download/converter.exe
then download and install this: http://www.cutepdf.com/download/CuteWriter.exe

once both are installed you'll have a new print destination called cutepdf writer. it'll ask where you want your pdf saved. if you alter the original you need to recreate the pdf file. there's no editing existing files with the free cute pdf writer.

When you guys run a tourney, how do you equate the CTPs towards payout for the TD report in order to keep within the PDGA requirements? I understand you are well over the required amount of payback peercent, but how do you get that #?

I'd be happy to answer the question if I understood the question. 

Here are some answers that might answer the question without me ever having to understand the question.

The PDGA has no required amount of payback.  The PDGA requires a minimum event value which includes the value of the player pack, prizes, included side games [like CTPs], trophies, and food.  You could have no payout if your player pack, ctps, trophies and food were sufficient. 

The TD report has cells for all of that stuff.  You just fill in the blanks.  It calculates the event value.  It might display the event value or not in a box called "For Office Use Only."  I cannot remember. 

We use ordinary retail values for donated CTPs based on the price of our own merch. 

For the payout, we report the brass given out and cash given out. 

If you do food you're making yourself like the Homie does, you just have to be reasonable. 

A good TD never has to worry about meeting PDGA minimums unless he is running an event that has been advertised as a charitable event or a fund raiser of some kind.  PDGA payouts are hideously crappy.  Terry Miller's payouts exceed PDGA minimums.   :P  If you want to cut it close to minimum for an Ice Bowl, I think everyone will understand and be fine with that.

A couple of process improvement ideas based off observations from the last IOS:

- Having a scoring tent separate from the merch area is a great idea. Keep Marie as bouncer for those that shouldn't be in the tent.

- A card should be made to go at the top of the Score Ports that lists the numbers of places paid and trophies available for each division. Yes it's on the lap top and posted elsewhere, but for the card sorters/markers, it would be nice to have it right there.

- Consider updating the registration card template to have a separate spot to mark the trophy positions. Bruce accidentally handed out the 3rd place trophy to the 3rd place paid out (which was really the 4th trophy spot due to a trophy only player). I would then just put an X through this box when the player is trophy only.

- Trim 1/4" off the length of the registration card so it fits in the narrow column easier.

1 - Thank you. That's my idea of the year. I know the year is relatively new but I'm not coming up with something better than that!
2 - That's a great idea. I'm NOT putting that down as your idea of the year...I don't think you can top the computerizing of IOS payouts.
3 - This is the year of the bar code system. This works really well for me. There are various lines in sharpy across the top of the registration cards. The line on the far right above the total score spot is for trophy only. Any amateur with that line is TO and should not get a payout. Bruce knows this...he even remembered it from IOS 1 until IOS 2. Bruce gets really whacky during awards and doesn't really think about what he's doing...like when he shouts out how one of his best volunteers took a dive the second round and then doesn't understand how that might be a little embarrassing.
4 - Maddisen cuts all the registration cards. I'll try to remind her to do that. We should also be getting new score ports soon and this might not be a problem anymore.

The bar worked fine for getting all of the payout positions correct. It was more of a notation thing so that when he saw the card with a 3 on it, Bruce needed to know that the player was just getting the 3rd place payout, but not the 3rd place trophy. He hadn't yet gotten to the trophy only card in his hand.
